What a GST invoice has to contain

People often think a GST invoice is a special form. It is not. It is an ordinary bill that carries a set of details the law asks for (Rule 46 of the CGST Rules lists them). Leave one out and your customer may not be able to claim the tax you charged them, which is the sort of thing that makes a customer stop paying on time. Here is the list in plain words, and where each piece goes in the generator:

  • Your name, address and GSTIN. Filled in under “From”. We check the GSTIN’s format and its last character.
  • A serial number that is never repeated. Up to 16 characters, using letters, numbers, a slash or a hyphen, and unique within the financial year. The generator suggests the next number for you after each invoice.
  • The date of the invoice. Today, unless you change it.
  • Your customer’s name and address, and their GSTIN if they are registered. A registered buyer needs your invoice to carry theirs, or they lose the tax credit.
  • The place of supply (the state, with its code). This is what decides CGST and SGST or IGST, so it has its own box.
  • For each item: a description, the HSN or SAC code, quantity and unit, the price, any discount, the taxable value, the tax rate and the tax amount.
  • The total, and the total in words.
  • Whether the tax is paid under reverse charge. A tick-box under “More options”.
  • A signature or digital signature. The PDF has a space for it.

For a sale to someone who is not registered, you can usually keep the customer details short. Once the invoice value reaches ₹50,000, though, you need their name, address and state code as well.

CGST + SGST or IGST: how it is decided

This is the question that trips up most new sellers, and the answer is shorter than people fear. Look at two states: the state you supply from (your location), and the place of supply. For goods that is usually where the goods are delivered, and for most services it is where your customer is.

  • Same state: the tax is split in two equal halves, CGST for the Centre and SGST for the state. At 18%, that is 9% and 9%. (In a Union Territory without a legislature, the state half is called UTGST.)
  • Different states: the whole tax is IGST, charged as one line.
  • Export, or supply to an SEZ: the law treats these as inter-state supplies, so the tax is IGST, unless the sale is made under a bond or Letter of Undertaking (LUT), in which case no tax is charged. The generator has both choices under “More options”.

Worked example: a ₹10,000 sale at 18%

Pune to Pune: CGST ₹900 + SGST ₹900 = ₹1,800 tax. Invoice total ₹11,800.

Pune to Bengaluru: IGST ₹1,800. Invoice total ₹11,800. Same total, one tax line instead of two.

Export under LUT: no tax. Invoice total ₹10,000.

Tax invoice, bill of supply, or something else?

Not every seller issues the same document, and the title on top changes with your situation:

  • Registered, regular scheme: a Tax Invoice. This is the one with the tax split out.
  • Composition scheme: a Bill of Supply. You pay a small percentage of turnover instead, so you cannot charge GST to your customer or print it as a tax line. Tick “I am a composition dealer” under “More options” and the title and tax change for you.
  • Not registered: an invoice or bill with no GST on it. Leave the GSTIN box empty.

Mistakes we see most often

  1. The wrong state as place of supply. It decides the tax type. If you ship goods to another state, the state the goods are delivered to is what counts, not the buyer’s billing address.
  2. Mixing up prices with and without tax. If your shelf price already includes GST, tick “My prices already include GST” and the generator works the tax out inside each price instead of adding it on top.
  3. Typing the GSTIN wrong. One wrong digit and your buyer’s tax credit fails to match. We catch most typos with the check character.
  4. Reusing an invoice number, or skipping numbers without a reason. Both raise questions in an audit.
  5. Editing an invoice after it has gone out. Cancel it, with the reason, and issue a new one (or a credit note). Inside an Invoiceo account an issued invoice cannot be changed at all, for this reason.
  6. Leaving the HSN or SAC code empty when your turnover says you must print it.

How the generator works, and what it keeps

The maths is the same engine that runs inside the Invoiceo app, so an invoice made here and the same invoice made in an account come out to the paisa. Each tax amount is rounded to the paisa, half up, and you can choose to round the total to the nearest rupee, in which case the difference shows as its own “Round off” line.

When you press download, your details go to our server for as long as it takes to draw the PDF and are then gone: they are not saved or logged. Your business details and an unfinished invoice are remembered only in your browser, so tomorrow you are not starting from scratch. One button forgets them. Questions people ask

Is this GST invoice generator really free?

Yes. You can make as many invoices as you like without an account, and download each one as a PDF. The only thing we add is a small 'Made with Invoiceo' line at the bottom of the free PDF. If you make a free account, invoices made inside it do not carry that line.

Do I need a GSTIN to use it?

No. If you are not registered under GST, leave the GSTIN box empty and the invoice is made without GST. If you are registered, enter your GSTIN and we check its format and its check character, so a mistyped digit is caught before it reaches your customer.

Is an invoice made here legally valid?

An invoice is valid when it carries the details the GST law asks for and you have charged the right tax. The generator puts those details in the right places and works out the tax from what you enter, but it cannot know your whole situation. You remain responsible for the rate, the HSN or SAC code and the place of supply, so please read each invoice before you send it.

Which HSN or SAC code should I use?

The one that describes what you sell. Goods have HSN codes and services have SAC codes, and both are listed on the GST portal and in the CBIC tariff. Turnover decides how many digits you must print (four digits up to ₹5 crore of turnover and six above, at the time of writing), so confirm the current rule with your accountant.

Can it make an e-invoice with an IRN and QR code?

Not yet. An IRN and its signed QR code can only be issued by the government's Invoice Registration Portal. This page makes the invoice itself. Businesses above the e-invoicing turnover limit still need to register each invoice on the portal.

What happens to the details I type?

They are used to make the PDF (or the Excel file, if you ask for one) and are not stored on our server. Your browser remembers your business details on your own device so you do not have to type them again, and you can clear them with one button. Our privacy policy has the full detail.
