Free invoice template for freelancers

Most freelancers learn invoicing the awkward way. A client says "send me the invoice", and you open a blank document late at night wondering what it is actually supposed to say.

This template starts you off with the lines a freelance project usually has: the main piece of work, a smaller add-on, and extra hours that were not in the quote. Replace them with your own, and the tax, the total and the total in words are filled in as you go.

The lines below are samples, so you can see how the invoice looks. Change the words and the prices to your own, add your business and your customer, and download the PDF. The sample prices and the tax rate are only placeholders: set the right rate for what you actually sell. Tax is added once you enter your tax number; without one, the invoice is made without tax.

What goes on a freelancer invoice

Six things, and each one is there for a reason. Leave them out and you are the one who pays for it later, in chasing and in explaining.

    Your name or studio name, address and tax number

    The client's accountant needs these to book your invoice as an expense. If you are registered for GST, VAT or a similar tax, your number goes here.

    A number that is never used twice

    INV-001, INV-002 and so on. In India the GST rules ask for a serial number of up to 16 characters that is unique within the financial year. Even where nobody checks, a clean sequence makes you look organised.

    The client's business name and address

    Not just "Rahul" or "the Mumbai team". The company that pays you, written the way it will appear in its books.

    What the work was, in words a finance team understands

    "Website design: homepage and four inner pages" gets paid faster than "design work", because the person approving it can match it to a purchase order or an email.

    Price, tax and total on separate lines

    Show the price before tax, the tax, and the total. If you are not registered for tax, leave the tax out altogether and do not invent a line for it.

    A due date, written as a date

    "Due 25 October" is clearer than "net 15". Add how to pay: bank transfer details or a UPI ID in the notes.

How to use this template

  1. Fill in your details once. Your business name, address and tax number. Your browser remembers them for next time, only on your own device.
  2. Replace the sample lines with what you actually did or sold. Add as many as you need, and move them up or down.
  3. Check the preview, then download the PDF to send, or the Excel file if you want to keep editing it in a spreadsheet (its totals are live formulas). After you download, the next invoice starts blank with your details kept and the number counted up.

A few habits that get you paid sooner

  • Invoice the day the work is approved

    Delays in invoicing become delays in payment. The best moment is when the client has just said they are happy.

  • Ask for an advance on bigger projects

    Many freelancers take 30 to 50 percent upfront. Issue an invoice for it with a clear line such as "Advance, 50% of the project fee", and show it as paid on the final one.

  • Keep scope changes visible

    Extra revision rounds or added pages deserve their own line, with the hours or the number. It turns an awkward conversation into a plain fact.

  • Never edit an invoice you have already sent

    If something was wrong, issue a credit note or a corrected invoice and say which one it replaces. A quiet change is how disagreements about money start.

Mistakes to avoid

  • Leaving off your tax number when you are registered, so the client cannot claim the tax you charged.
  • Putting several different projects on one invoice with no way to tell them apart.
  • Giving personal and business bank details on the same page, so the client does not know which account is correct.

A word on tax for freelancers

Whether you charge tax depends on where you live and how much you earn. In India, a freelancer providing services generally has to register for GST once yearly turnover passes ₹20 lakh (₹10 lakh in some special-category states), and services sold to a client abroad can usually be exported without tax, under conditions. In the UK, VAT registration is compulsory once your taxable turnover goes above £90,000 in 12 months. In Canada the "small supplier" limit is C$30,000, and in the UAE the registration limit is AED 375,000. In the United States, services are often not subject to sales tax at all, but that differs by state.

Those limits move, so check the official pages (linked at the bottom of this page) or ask your accountant. If you are below the limit, leave the tax number box empty and the invoice is made without tax.

Questions people ask

Can I send an invoice if I am not registered for tax?

Yes. An invoice does not need a tax number to be a valid request for payment. If you are not registered, leave the tax number and the tax rate empty, and charge no tax.

What if my client is in another country?

The tax treatment depends on both countries. In India, an export of services can often be made without GST when certain conditions are met, and in the invoice maker you will find this under 'More options'. Ask your accountant to confirm your case.

Should I charge for late payment?

You can, if you say so in advance. Put the terms in the notes (for example, interest per month on overdue amounts) so the client sees them before the invoice is late, not after.
